WhatsApp Template Management

The WhatsApp Template Management feature allows you to view, organize, and delete your saved message templates. This helps ensure smooth communication and better campaign control.

Step 1: Access WhatsApp Templates

  1. Log in to your MyQRGuide dashboard.

  2. Click on WhatsApp from the main menu.

  3. Select My WhatsApp Template.


Step 2: View Your Saved WhatsApp Templates

On this page, you can see the following details for each template:

  1. Template Name

  2. Language

  3. Approval or Message Status

  4. Available Actions (Delete)

This overview helps you manage all templates in one place.


Step 3: Delete a WhatsApp Template

  1. Locate the template you want to remove.

  2. Click the Delete icon beside it.

  3. Confirm the deletion when prompted.

The selected template will be permanently removed from your account.

How to Create a WhatsApp Template in MyQRGuide

Creating a WhatsApp template allows you to prepare reusable, professional messages for customer notifications, promotions, and updates.

Step 1: Go to WhatsApp Section

  1. Log in to your dashboard.

  2. Click on WhatsApp.

  3. Click on “Create WhatsApp Template

it wiill open the template builder.


Step 2: Enter Template Details

Fill in the following information:

1. Template Name – Enter a clear, meaningful, and easily identifiable name for your template. This helps you quickly recognize its purpose later.

        Unique Identifier – Provide a short and unique identifier for the template.

  • Do not use spaces.
  • Use underscores (_) instead of spaces if needed.
  • Ensure the identifier is distinct to avoid duplication issues.

2. Language – Select the appropriate language in which the message template is written.


Step 3: Select Template Category

Choose the category based on the purpose of your message:

  1. Marketing
  2. Notifications
  3. Reminders
  4. Promotions

Selecting the correct category ensures better organization and compliance.


Step 4: Add Message Content

In this step, you can compose and personalize the message that will be sent to your customers. Use the available fields to structure your template clearly and effectively.

  1. Header Text (Optional) – This is the opening line of your message.
    It is typically used for titles, greetings, or important highlights that should appear at the top.
  2. Body Text – This is the main content of your message.
    Include the primary information, instructions, or details you want to communicate to the recipient.
  3. Footer Text (Optional) – This is the closing part of the message.
    It is commonly used for disclaimers, additional notes, or a short closing statement.

Preview Section

As you enter the message details, a Preview section will display how the final message will appear to recipients.

  1. Whatever you type in the Header, Body, and Footer fields will be reflected in the preview.

  2. This allows you to review the formatting and content before saving or submitting the template.

  3. Use the preview to ensure the message looks clear, professional, and properly structured.

 

Step 5: Add Buttons (Optional)

Enhance engagement by adding:

  1. Quick Reply Buttons

  2. Call-to-Action Buttons

Buttons improve response rates and customer interaction.

 

 


Step 6: Save and Finalize

  1. After reviewing all details:
  2. Click Create Template

  3. Wait for confirmation

  4. Your WhatsApp template is now ready to use in campaigns.

How to Send Messages Using WhatsApp Messaging Platform

The WhatsApp Messaging Platform in MyQRGuide allows you to send bulk messages, schedule campaigns, and engage customers easily.


Step 1: Access the WhatsApp Messaging Tool

  1. Log in to your dashboard.

  2. Navigate to WhatsApp.

  3. Click On Send Whats App Message 


Step 2: Add Recipients

In this step, you need to select how you want to add recipients for sending the WhatsApp message. The system provides three flexible methods to help you target your audience effectively.


Option 1: Manual Entry

Select Enter Phone Numbers Manually from the Choose Recipients Method dropdown.

You will see:

  • A phone number input field with country code selection.
  • An option to select the Message Template.
  • A Schedule Your Message section to choose duration.
  • A Send button to initiate message delivery.

Enter the recipient’s phone number along with the correct country code. After entering the number:

  1. Select the appropriate message template.

  2. Choose the desired schedule duration.

  3. Click Send to deliver the message.

This method is ideal when sending messages to a small number of individual contacts.


Option 2: CSV Upload (Bulk Messaging)

Select Upload CSV File from the Choose Recipients Method dropdown.

You will see:

  • A file upload option labeled Upload CSV File (Phone Numbers).
  • A note indicating: “Add Number in CSV With Country Code.”
  • A Download Sample CSV button for reference.
  • A Template selection dropdown.
  • A Schedule Your Message option.
  • A Send button.

To proceed:

  1. Prepare a CSV file containing phone numbers with country codes.

  2. (Optional) Click Download Sample CSV to follow the correct format.

  3. Upload the prepared CSV file.

  4. Select the message template.

  5. Choose the schedule duration.

  6. Click Send to send bulk messages.

This method is recommended for sending messages to multiple contacts at once.

 


Option 3: Minisite Selection

Select Minisite User from the Choose Recipients Method dropdown.

You will see:

  • A Select Mini Site Number dropdown field.
  • A Template selection dropdown.
  • A Schedule Your Message option.
  • A Send button.

To proceed:

  1. Choose the specific minisite from which users have registered.

  2. Select the appropriate message template.

  3. Choose the schedule duration.

  4. Click Send to send messages to users associated with the selected minisite.

This method is useful when targeting users who registered through your minisite.

 


โš ๏ธ Important Note

At the top of the page, you will see a token usage notice:

Each token allows you to send up to 10 messages. For every 10 messages sent, 1 token will be deducted from your balance.

Make sure you have sufficient tokens before sending messages.

How to Check WhatsApp Message Report in MyQRGuide

The WhatsApp Message Report provides a detailed overview of all messages sent through your account. It allows you to monitor message delivery status, track customer responses, and evaluate the effectiveness of your campaigns.


Step 1: Open WhatsApp Message Report

  1. Log in to your dashboard.

  2. Click on WhatsApp.

  3. Select WhatsApp Message Report.

 


Step 2: Review Message Details

The report includes:

  • Template Name
  • Recipient Phone Number
  • Message Status (Delivered, Read, Failed)
  • Customer Response

This helps you track performance and engagement.
